The Assistant Project Coordinator (APC) provides essential administrative and
operational support to the Project Coordinator (PC) and Project Manager (PM) to ensure the smooth delivery of projects. This role is focused on assisting with documentation, reporting, communication, and day-to-day coordination tasks. The APC helps maintain organisation across projects, ensures accurate records are kept, and supports the project team in meeting deadlines and quality standards. This position is an excellent entry point into project management, offering hands-on experience while contributing to the company’s commitment to collaboration, transparency, proactiveness, and customer focus.
Key Responsibilities
The Assistant Project Coordinator is responsible for supporting the preparation and
maintenance of project documentation, including schedules, reports, and registers.
They assist in tracking project progress, recording updates, and ensuring all information
is accurately filed and accessible.
They help coordinate communication between internal teams, subcontractors, and
suppliers, ensuring that key messages, updates, and instructions are delivered clearly
and on time. The APC also assists in organising project meetings, recording minutes,
and following up on action items.
The role involves supporting the monitoring of costs, timelines, and quality by providing
data entry and administrative assistance to PCs and PMs. The APC also helps maintain
compliance records and contributes to risk registers under supervision.
Reporting is a core aspect of the position, with the APC assisting in the preparation of
daily and weekly reports, gathering information from stakeholders, and ensuring
consistency in project reporting.
Overall, the Assistant Project Coordinator provides valuable support that allows PCs
and PMs to focus on higher-level project delivery, while developing their own skills and
experience in project management.
